These Terms and Conditions (“Terms”) govern your use of the website operated by Olympic City Air (“Company,” “we,” “us,” or “our”), located at olympiccityair.com, and any heating, ventilation, air conditioning (HVAC), or related services we provide. By accessing our website, requesting a quote, scheduling service, or hiring Olympic City Air, you agree to be bound by these Terms.
If you do not agree to these Terms, please do not use our website or services.

2. Services Provided
Olympic City Air provides residential and light-commercial HVAC services, including but not limited to:
- Air conditioning repair, installation, replacement, and maintenance.
- Furnace and heating system repair, installation, and maintenance.
- Heat pump service, installation, and replacement.
- Ductless mini-split system installation and service.
- Indoor air quality solutions, including air filtration and whole-home humidifiers.
- 24/7 emergency HVAC services.
- Seasonal tune-ups and preventative maintenance.
Service availability is limited to Colorado Springs and surrounding service areas, including Fountain, Security, Monument, Peyton, Woodland Park, and Black Forest. We reserve the right to decline service outside our service area or for any reason permitted by law.
3. Estimates, Quotes & Pricing
Free Estimates. We provide free in-home estimates on system replacements and free second opinions.
Diagnostic Service Call Fee. Our standard diagnostic service call fee is $95. This fee covers the technician’s travel and on-site diagnosis and is due whether or not you proceed with the recommended repair.
Written Estimates. All repair and installation estimates are provided in writing before work begins. Pricing may change due to fluctuations in parts, equipment, or material costs, and estimates are subject to revision if conditions change.
Authorization. Work will not begin until you provide written or electronic authorization. Verbal authorization may be accepted for emergency repairs but should be confirmed in writing as soon as practical.
Additional Work. If our technician identifies additional issues during service that were not part of the original estimate, we will provide a revised written estimate and obtain your authorization before performing the additional work.
4. Promotions & Special Offers
- Offers are valid only at the time of booking and cannot be combined with other promotions unless explicitly stated.
- Offers apply to standard residential systems and may not apply to commercial properties, oversized systems, or non-standard installations.
- The free humidifier promotion requires qualifying furnace installation or replacement by Olympic City Air and is subject to product availability.
- Olympic City Air reserves the right to modify, extend, or discontinue any promotion at any time without prior notice.
5. Payment Terms
Payment Due. Payment for service is due upon completion of work unless other arrangements have been agreed to in writing.
Accepted Payment. We accept cash, check, and major credit cards.
Returned Payments. Returned checks or chargebacks may incur additional fees as permitted by Colorado law.
Mechanic’s Lien Notice. Under Colorado law, contractors, subcontractors, and suppliers who furnish labor or materials may have lien rights against the property if not paid. By scheduling service, you acknowledge this notice.
6. Warranties
Workmanship: Olympic City Air stands behind the quality of its workmanship. Specific warranty terms for installation and repair work will be provided in writing on your service agreement, invoice, or estimate.
Manufacturer Warranties: Equipment and parts are covered by the applicable manufacturer’s warranty. Manufacturer warranty terms vary by product, are set and administered by the manufacturer, and are not controlled by Olympic City Air. We will assist customers in registering and submitting manufacturer warranty claims.
Warranty Exclusions: Warranties do not cover:
- Damage caused by misuse, neglect, accident, or acts of nature.
- Damage from improper voltage, power surges, or electrical issues unrelated to our work.
- Equipment serviced, modified, or tampered with by anyone other than Olympic City Air.
- Routine maintenance, filter replacement, or normal wear and tear.
- Pre-existing conditions or issues unrelated to the work performed.
Warranty Claims: To submit a claim, contact us at 719-463-8860 within the applicable warranty period. We reserve the right to inspect the work before honoring any claim.
7. 100% Satisfaction Guarantee
We stand behind our work. If you are not satisfied with a completed job, please contact us promptly, and we will work in good faith to address the issue, which may include re-performing the work at no additional charge. This guarantee applies to workmanship issues and does not constitute a refund policy for equipment or parts already installed.
8. Cancellations & Rescheduling
We ask that customers provide reasonable advance notice to cancel or reschedule a non-emergency appointment. Same-day cancellations or no-shows may be subject to a trip fee at our discretion. Emergency appointments are not subject to cancellation fees.
9. Access to Property
- Ensuring a responsible adult (18 or older) is present during service unless otherwise arranged.
- Providing safe and reasonable access to HVAC equipment.
- Disclosing any known hazards (e.g., asbestos, mold, structural issues, aggressive pets).
- Securing valuables and protecting the flooring in work areas.
Olympic City Air is not responsible for damage caused by pre-existing conditions, undisclosed hazards, or inaccessible work areas.
10. Limitation of Liability
To the fullest extent permitted by Colorado law, Olympic City Air’s total liability for any claim arising from our services shall not exceed the amount paid by the customer for the specific service giving rise to the claim. We are not liable for indirect, incidental, consequential, or punitive damages, including but not limited to loss of use, loss of income, or property damage not directly caused by our negligence.
Nothing in these Terms limits liability for personal injury caused by our negligence, fraud, or any liability that cannot be excluded under applicable law.
11. Insurance & Licensing
Olympic City Air is licensed and insured to operate in the State of Colorado. Proof of license and insurance is available upon request.
12. Emergency Services
Olympic City Air offers 24/7 emergency HVAC services. While we make every effort to respond promptly — typically within two (2) hours on average — response times are not guaranteed and may vary based on weather, demand, technician availability, and travel distance.
13. Website Use
- Use the website in any way that could damage, disable, or impair its functionality.
- Attempt to gain unauthorized access to any part of our website or systems.
- Use automated tools (bots, scrapers) to collect information from the website.
- Submit false, misleading, or fraudulent information through any contact form.
We reserve the right to refuse service or block access to our website at our discretion.
14. Intellectual Property
All content on olympiccityair.com — including text, logos, images, graphics, and design — is the property of Olympic City Air or its licensors and is protected by copyright and trademark law. You may not reproduce, distribute, or use any content from our website without our prior written consent, except for personal, non-commercial reference.

Our website may reference third-party manufacturers or service providers. References to brand names are for identification purposes only and do not imply endorsement, partnership, or affiliation unless explicitly stated.

18. Governing Law & Dispute Resolution
These Terms are governed by the laws of the State of Colorado, without regard to its conflict-of-law principles. Any dispute arising under these Terms or our services shall first be addressed through good-faith negotiation. If unresolved, disputes shall be resolved in the state or federal courts located in El Paso County, Colorado.
19. Changes to These Terms
We may update these Terms from time to time. The “Last Updated” date at the top of this page reflects the most recent revision. Continued use of our website or services after changes are posted constitutes acceptance of the revised Terms.
20. Severability
If any provision of these Terms is found to be unenforceable, the remaining provisions shall remain in full force and effect.
